Field Implementation Visit Checklist
Field implementation visits are more complex than ordinary meetings.
They may involve specialists, vendors, partners, customer stakeholders, site access rules, equipment, and go-live readiness.
A field implementation visit checklist helps the host make sure the team is ready before arriving at the customer site.
When to use this checklist
Use this checklist for:
- Implementation kickoff visits
- Go-live support visits
- Site acceptance visits
- Technical workshops
- Data center access visits
- Customer deployment reviews
- Field specialist visits
- Clinical or industrial onsite work
- Partner-led customer implementations
1. Mission basics
Document:
- Customer/site name
- Site address
- Required arrival time
- Meeting start time
- Meeting point
- Customer host
- Mission host
- Site access instructions
- Visitor registration link
- Parking or reception instructions
2. Participant roles
List each participant and why they are attending.
Common roles:
- Implementation lead
- Field engineer
- Solution engineer
- Product expert
- Partner lead
- Customer success manager
- Sales owner
- Technical account manager
- External consultant
3. Readiness checklist
For each participant, track:
- Attendance confirmed
- ETA submitted
- Visitor registration completed
- Site instructions acknowledged
- Transport confirmed
- Equipment confirmed
- Check-in status updated
4. Site access requirements
Some field implementation visits require more than a meeting room.
Track whether the site requires:
- Government-issued ID
- Visitor registration
- NDA
- Badge pickup
- Equipment declaration
- Laptop restrictions
- Photography restrictions
- Security escort
- Safety briefing
- Parking registration
Do not assume every participant knows these requirements.
5. Equipment and materials
If equipment or demo materials are involved, track:
- Who is bringing equipment
- What equipment is required
- Whether the customer allows the equipment onsite
- Whether device serial numbers are needed
- Whether network access is required
- Whether power, display, or room setup is required
6. Mission timeline
A field implementation visit should have a simple timeline.
Example:
| Time | Activity |
|---|---|
| 8:00 AM | Team should be on the way |
| 8:30 AM | Meet at customer lobby |
| 8:45 AM | Complete visitor check-in |
| 9:00 AM | Implementation session starts |
| 11:30 AM | Customer review |
| 12:00 PM | Confirm next steps |
7. Day-of status tracking
On mission day, track:
- On the way
- Arrived nearby
- At meeting point
- Checked in
- Delayed
- Blocked / need help
The host should know who is accounted for before the session begins.
8. Issue actions
Prepare actions for common issues:
| Issue | Action |
|---|---|
| Participant delayed | Ask for updated ETA |
| Registration not completed | Resend registration link |
| Security cannot find participant | Call customer host |
| Equipment blocked | Contact customer host or site security |
| Participant needs ride | Coordinate with team |
| Wrong entrance | Send map or instructions |
9. Completion
At the end of the visit, record:
- Who attended
- Who checked in
- Issues resolved
- Customer follow-up owner
- Next action
Do not turn this into a full CRM. Keep it lightweight.

Use a live mission board for implementation visits
A checklist is useful before the visit. A live mission board is useful during the visit.
Use OnsiteMission when the host needs to know who is ready, who has arrived, and who needs action.
